01These terms

These Terms and Conditions govern the rental of the Sun City Swing mobile golf simulator and any related services. By reserving a date, paying a deposit or allowing us to set up at your event, you agree to them on behalf of yourself and your guests.

“We” and “us” mean Sun City Swing. “You” means the person or organisation booking the event. “Equipment” means the simulator, screen, projector, launch monitor, netting, mats, clubs, balls, power equipment and everything else we bring.

02Booking and confirmation

Dates are held on a first-come basis. An enquiry, a quote or a verbal hold does not reserve anything — your date is only confirmed once the reservation deposit is received. Until then it stays open to other bookings.

When you book, please give us an accurate guest count, start and end time, venue address, and whether the setup is indoor or outdoor. We plan travel, power and space around those details.

03Pricing and payment

Pricing depends on the length of your event, the size of your group and what you need on the day. We quote every booking individually — call or text us with your date, guest count and location and we will give you a figure before you commit to anything.

Every booking includes delivery, professional setup, operation throughout your event, access to multiple courses and game modes, and complete teardown afterward. Booked hours are gameplay hours — setup and teardown happen outside your booked window and are not counted against it.

The reservation deposit secures your date. The remaining balance is due before setup on the day of your event, so there is nothing to sort out while your guests are arriving. Prices are quoted at the time of booking and do not include any applicable taxes or a travel fee where one applies.

Additional time on the day is subject to our availability and is billed at our standard hourly rate, agreed with you before we continue.

04Deposits and cancellations

A reservation deposit is required to hold your event on our calendar. The deposit is applied to your total.

• Cancel more than 14 days before your event and the deposit may be applied to a future date within twelve months, subject to availability.
• Cancellations made within 14 days of your event forfeit the reservation deposit, because the date has been held and other bookings turned away.
• If we arrive as scheduled and cannot set up because of something within your control — no access, no usable space, no power, or the event is called off on the day — the booking is treated as a same-day cancellation and the full balance remains payable.

05Rescheduling and weather

If severe weather makes your event unsafe, we will work with you to reschedule at no additional cost, subject to availability. That includes lightning, high wind, heavy rain or extreme heat that puts guests or equipment at risk.

The equipment includes electronics, a projection screen and netting, so the call on whether conditions are safe is ours and it is final. For outdoor bookings we strongly recommend having a covered or indoor backup space; if one is available, we will usually move the setup rather than lose your event.

Requests to reschedule for any other reason are handled like a cancellation under the section above, and depend on our calendar.

06Service area and travel

We proudly serve El Paso, Texas, Las Cruces, New Mexico and the surrounding communities. Events outside our standard service area may be subject to a travel fee, which we will quote before you book — never added afterward.

07Your venue: space, power and access

You are responsible for making sure the location is ready for us. That means:

• Space — enough clear room for safe gameplay, including swing clearance and run-off behind the hitting area. If you are not sure your space fits, call us before booking and we will tell you straight.
• Surface — a level, stable, reasonably dry surface. Soft ground, steep slopes and loose gravel are not suitable.
• Power — access to standard grounded household power within reasonable reach of the setup. If the site has no power, tell us in advance so we can plan for it.
• Access — a clear path to load in and out, and any gate codes, elevator bookings, loading-dock times, parking arrangements or venue permissions sorted out before we arrive.
• Permissions — where the venue is not yours, any approval, permit or certificate of insurance the venue requires. Ask early and we will supply what we can.

Delays caused by access problems, a space that is not ready, or a venue that has not been cleared come out of your booked gameplay hours.

08Setup, operation and teardown

We arrive ahead of your start time, set up, run the simulator throughout your event and tear down afterward. Setup and teardown each need a window before and after your booked hours; we will confirm the exact timing with you.

The equipment is operated by our staff. Please do not move, adjust, unplug or disassemble any part of it. If something needs changing — volume, game mode, difficulty, position — just ask and we will handle it.

09Supervision, conduct and safety

Guests are swinging real golf clubs. Safety instructions given by our staff are not optional.

• Only one player in the hitting area at a time. Everyone else stays behind the marked line.
• Children must be supervised by an adult at all times while near or using the simulator.
• We may pause or stop play for any guest who is behaving unsafely, is visibly intoxicated, or ignores staff instructions.
• If the situation cannot be brought under control, we may end the event early. In that case no refund is due.

You are responsible for the conduct of your guests throughout the event.

10Damage, loss and theft

Normal wear from ordinary play is expected and is on us. You are responsible for the cost of repair or replacement where equipment is damaged, lost or stolen because of misuse, negligence or intentional acts by you or your guests — for example, striking the screen with anything other than a golf ball, or damage caused by food, drink or fireworks.

We are likewise responsible for damage to your property caused by our negligence during setup, operation or teardown. Tell us straight away if something happens so we can address it.

11Assumption of risk

Golf involves physical activity and the movement of clubs and balls at speed. Participation carries an inherent risk of injury. By taking part, and by allowing your guests to take part, you accept that risk.

To the fullest extent permitted by law, you release Sun City Swing from claims for injury, loss or damage arising from participation in the activity, except where it is caused by our negligence or wilful misconduct.

12Alcohol and prohibited use

We are happy to work alongside a bar or a catered event. Serving alcohol is your responsibility and your venue’s, not ours, and any required licence is yours to hold.

We may refuse play to any guest who appears intoxicated. Smoking, vaping, open flame, and food or drink are not permitted inside the hitting area at any time.

13Photography and marketing

We may take photos or video at your event for our website and social channels. If you would rather we did not, tell us before or at setup and we will not — no explanation needed. See our Privacy Policy for how we handle images.

14Circumstances outside our control

Neither party is liable for failing to perform because of something genuinely outside its control — severe weather, fire, flood, accident, vehicle breakdown, road closure, power failure, illness, public emergency or government restriction. Where that happens we will reschedule your event at no additional cost, subject to availability, or refund amounts paid for a date we cannot fill.

15Limitation of liability

To the fullest extent permitted by law, our total liability arising out of or relating to your booking is limited to the amount you paid for that booking. We are not liable for indirect or consequential losses, including lost profits, lost opportunity or the cost of alternative entertainment.

Nothing in these terms limits liability that cannot be limited under applicable law.

16Governing law

These terms are governed by the laws of the State of Texas. Any dispute will be brought in the state or federal courts located in El Paso County, Texas. If any part of these terms is found unenforceable, the rest stays in force.

17Changes to these terms

We may update these terms from time to time. The version in effect on the date you book is the version that applies to your event.
